Appointments and scheduling

  • Elective consultation referral: Your appointment will be scheduled once a complete written referral from a physician has been received and reviewed. To expedite your referral, please ensure that all supporting documents are included with the referral including appropriate blood work, urine tests, diagnostic imaging studies and/or prior relevant clinical notes. Incomplete referrals will be returned to your doctor to request additional clinical information and appointment scheduled once received and reviewed.

    Referrals are triaged and scheduled based on nature and severity of the clinical condition. You and your doctor will be notified of the appointment once it has been booked. It is at the discretion of the Urologist whether the consultation request will be accepted based on the clinical condition, their expertise or wait-time.

    Emergency Department referral: The Halton Urology office will contact you directly to book an appointment once we have received all the necessary clinical information. You will typically be seen within 1 week or in the next available appointment.

  • We are doing a combination of both virtual and in-person appointments. Depending on the clinical condition, your appointment will be booked accordingly.

    Many of our initial assessments are done by telephone with your Urologist and then your followup appointment, if needed, will be booked in-person either in the office or at the hospital.

  • Please call the office to reschedule or cancel your upcoming appointment.

    Please be mindful of other patients. We ask that you cancel your appointment and rebook as soon as you know that you will be unable to attend.

  • After your in-person or telephone appointment, if required and discussed, a followup appointment will be scheduled for you by the clinic.

    If you have been previously seen and require another appointment, please call the office during business hours.

    If you require another appointment for an unrelated urologic condition or if it has been greater than 2 years since your last appointment, you will require a new referral from your doctor as outlined by Ontario Health.

  • All patients are triaged and appointments booked accordingly as clinically appropriate.

    We do not keep a cancellation list and will always book your appointment based on next availability as the Urologist schedule permits.

  • Your diagnostic imaging test such as bone scan, CT scan, MRI, ultrasound, etc., will be arranged by your Urologist as discussed at your last appointment.

    Depending on which hospital your test has been booked at as well as the clinical reason for the test, the hospital will book the test and notify my office. My office will notify you of your diagnostic imaging test at the hospital and your follow-up appointment with your Urologist.

    If there is a conflict in the appointment time and date for the diagnostic imaging appointment at the hospital, my office cannot change this appointment for you. The hospital requests that you call them directly to change your appointment

    Please notify my office of the changed DI appointment time so that we can also change your office follow-up visit.

  • If you require bloodwork to be done prior to next appointment, your Urologist will have emailed it to you through the Medeo Health platform or app.

    If you misplaced your lab requisition form, please call the office and we will email it to you again. Alternatively, you can pick up from the office or we can send it to your family doctor’s office to pick up.

  • Your Urologist will always do their best to see you at your scheduled appointment time. If you are early or late, the clinic staff to try to fit you as long as it does not negatively affect other patients who are on time.

    If your Urologist is able to accommodate you, they will see you when there is an opportunity or gap in patient appointments. The priority is to see the patients at the time that they are booked. Sometimes, this may mean that you have to come back later in the day.

    If your Urologist is unable to fit you in the same day, you will be rescheduled to the next available clinic day.

  • Your Urologist will endeavour to call you at your schedule appointment time +/- 1 hour. They will be calling from a private or unknown number. Please ensure that you have not set your phone to ignore those calls.

    If you miss the call or do not answer, your Urologist may be able to call you back at a later time the same day, if the schedule permits. This is not guaranteed.

    If this is not possible, the clinic staff will reschedule your appointment at the next availability.

  • Please call the office to reschedule if you missed your appointment.

    The clinic staff will call you once to reschedule an appointment.

  • As the doctor is on-call for Halton Healthcare during the day time, they may be contacted directly by another physician to discuss an urgent patient matter. This may require your Urologist go to hospital in the middle of a scheduled clinic to see a patient. This does not happen very often but I ask for your understanding should this happen.

  • The wait time depends on a number of factors. If you are a new patient waiting for an appointment, the wait time is dependent on the following factors: clinical history as provided by your referring physician and completeness of the referral documents provided by your referring physician. If the Urologist is missing or requesting further information from your doctor, an appointment will not be booked until this has been received and reviewed. This is commonly the cause of the delay between when you are told the referral has been made and when you are scheduled for an appointment.

    Urgent urologic issues are seen on average within 1-2 weeks whereas less urgent or non-urgent urological may wait on average 4-6 weeks but can sometimes be longer.

  • We know that waiting for surgery can be stressful. We will call you with your surgery date and let you know about any tests you may need to do. This can take 2 to 4 weeks. We will call you as soon as we have all of the information.

  • Both Dr. Cole and Dr. Kwan perform surgeries at the Milton District Hospital and the Oakville Trafalgar Memorial Hospital.

    Where your surgery will be booked will be at the discretion of your Urologist and is determined based on the type of surgery or procedure, clinical factors and patient health related issues.

  • If your Urologist discussed that you will need a cystoscopy (look inside your bladder), the clinic staff will book this for your at the Milton District Hospital. You will then be notified of the scheduled appointment date and time.

    You will require cystoscopy paperwork and consent form to bring with you to your appointment. The clinic staff will email this to you through the Medeo health platform or app. Alternatively, you can pick this up from the office.

  • If your Urologist discussed with you that a prostate biopsy is necessary, an appointment will be scheduled for your at the Milton District Hospital. The clinic staff will notify you of the time and date. You will require the biopsy paperwork including the consent form which will be emailed to you through the Medeo health platform or you can pick it up from the clinic. You will also need your prescription for pre-procedural antibiotics which will be given to you or faxed to your pharmacy.

  • Unfortunately, we are no longer doing any vasectomies. There are clinics that are offering this service. Please discuss your family planning needs with your family doctor.

  • When you are scheduled for an appointment, you will be notified either by phone, text or email based on the contact information provided. Please note that this is an automated service. Please confirm the appointment as per the instructions.

Clinic information

  • Office hours: 9:00 am – 4:00 pm, Monday to Thursday, and closed alternating Fridays.

    We do not have any evening or weekend appointments.

    Dr. Cole and Dr. Kwan are scheduled for hospital on-call responsibilities outside of their office hours.

  • Office hours: 9:00 am – 4:00 pm, Monday to Thursday, and closed alternating Fridays. We do not answer the phones in the evenings or on weekends.

    We know that reaching us by phone can sometimes be difficult. Often our phone lines are very busy or turned over to the message centre so the staff can prepare for clinic visits or help other patients.

    We try to return your call within 48 hours but due the volume of calls, this may not always be possible. If you do not have an answering machine for us to leave a message, you may need to call us again.

  • The phones are answered daily from 9:00 am – 12:00 pm and again from 1:00 pm – 4:00 pm. We receive a high volume of calls and as such, your call may have been missed as the clinic staff may be on the phone or with another patient. If you have left a message, the clinic staff will return your call at their earliest availability and generally, this is within 48 hrs.

    Please ensure that when you are leaving your message that you are speaking slowly and clearly. Please leave your full name and a number where you can be reached during the daytime.

    Please do not leave more than one message. Messages are returned in the order that they are received. If you leave more than one message, only the last message will be taken and returned to the queue.

  • While we do have a general office email, it is not a secure email and as such, we try our best not use it for patient related communications as per the confidentiality guidelines from the College of Physicians and Surgeons of Ontario.

    Our preference is to communicate by phone.

  • Your Urologist and the clinic are able to send you necessary or required paperwork through the secure platform called Medeo Health. It is directly linked to the Electronic Medical Records that is used at Halton Urology. This is a safe and reliable way to deliver confidential information to our patients.

Pre-Surgery Information

    1. Please make sure you have your surgery package which includes the pre-surgical questionnaire, the patient consent form with the name of the surgical procedure and the physician orders.

    2. Make sure you have filled out the pre-surgical questionnaire prior to your pre-operative or pre-admission clinic appointment. This appointment will be typically schedule 7-14 days prior to your actual surgery date.

    3. Please obtain your Cumulative Patient Profile (CPP) from your family doctor and attach it to your surgery package.

    4. The hospital where your surgery is booked, will schedule you for a pre-operative appointment.

    5. Call the office if your urologic condition changes, or if you develop symptoms (e.g. cough, fever) that may change your suitability for surgery.

    6. Your home medications will be reviewed at your pre-operative appointment. They will guide you as to which medications you may need to stop prior to your surgery. If you are on blood thinners, they will discuss with you when it should be held prior to surgery.

    7. You may eat and drink as usual the night before. Do not take anything by mouth after 12:00 midnight the night before our surgery. You may take your medications as instructed with sips of water only.

    8. Wear comfortable, loose-fitting clothing to the hospital on the day of your surgery.

    9. Arrange for transportation home; you may not drive or operate dangerous equipment for 24 hours after receiving an anaesthetic.

  • There is no preparation required for your cystoscopy. You will be able to drive yourself to and from the hospital.

    Please bring with you the cystoscopy paperwork to the hospital. This would have been emailed to you or you may have picked it up from the clinic.

  • Once you have been notified of your surgery time and date, you will need your surgery package. We will email this to you securely through the Medeo health platform. Alternatively, you can pick the package up from the office.

    Your surgery package contains the patient consent form which has the name of your surgery, the pre-surgical questionnaire and the physician orders. This will need to be filled out.

    You will need to bring this with you on the day of your pre-operative appointment as well as on the day of surgery.

  • Day Surgery means that you will be having a surgical procedure and be discharged home on the same day.

    For all surgeries, you must attend a Pre-Admission or Pre-Operative appointment to prepare you for surgery. This includes speaking with a nurse who will arrange any blood tests, x-rays, ECG’s or other tests that may be required or requested by your Urologist. You may need to have a consultation with the pharmacist to review your medication list. If required, you may also need to have a consultation with the anesthesiologist.

    On the day of your surgery, you should report to your designated registration area at a specific time that will have been given to you at your Pre-Operative or Pre-Admission clinic appointment.

    Please ensure that you have a responsible adult who can drive you home after surgery. We cannot discharge you home in a taxi.

  • Inpatient Surgery occurs when a surgery is performed with the expectation that the patient stays in the hospital for at least one night. Your anticipated length of stay in hospital will be discussed with you and is dependent largely upon the type of surgery performed. After the surgery, the patient is admitted into a room on inpatient floor.

    Inpatients should plan to bring a change of comfortable clothing and other items that they need. All valuables should stay at home.

    For all surgeries, you must attend a Pre-Admission or Pre-Operative appointment to prepare you for surgery. This includes speaking with a nurse who will arrange any blood tests, x-rays, ECG’s or other tests that may be required or requested by your Urologist. You may need to have a consultation with the pharmacist to review your medication list. If required, you may also need to have a consultation with the anesthesiologist.

    1. Due to the pandemic, there is a longer wait time for certain surgical procedures. We will always prioritize surgery based on the clinical condition such as cancer surgery.

    2. If you cancelled your surgery last minute or missed your surgery date, depending on the reason, your Urologist may choose not rebook your surgery. The allotted surgery time at the hospital is limited as are all health care resources and as such, please appreciate that there are other patients who are waiting for surgery. Last minute cancellations cannot always be filled.

    3. If there is a conflict in your schedule with your booked date of surgery, please endeavour to notify this as soon as possible. Your Urologist will be made aware and you will be rebooked in the next available opening.

    4. If your surgery is cancelled for medical reasons by the hospital, the anesthesiologist or another physician, we will rebook your surgery once your have been reassessed and medically cleared to have your surgery.

  • At your last appointment, we discussed that based on your medical condition you require surgery on more urgent or semi-urgent basis. This is what we call an “add-on” case, which means your name is added to the urgent surgical list at the hospital after the booked elective cases are completed (8:00 am – 3:30 pm). These urgent cases will proceed generally starting after 3:30 pm and they are prioritized based on the severity of illness of the patient and not on a first come first serve basis.

    Surgical emergencies can occur at any time of day and may result in you waiting longer for your surgery to proceed. While this may be frustrating, please understand that there is unfortunately a patient who is sicker and requires more emergent or urgent surgery than you. In rare situations, your case may be cancelled all together due to there being too many urgent cases ahead of you and we will then attempt to add you to the list again on another day. Post-Surgery Information

  • Recovery from surgery is different depending on the procedure and the patient.

    You will have received discharge instructions from your Urologist prior to leaving the hospital. Your Urologist will speak with you after surgery and will also provide printed discharge instructions.

    Please read and follow the discharge instructions as outlined and fill the prescriptions if provided.
